3. How we use it, and why we're allowed to
| What we do | Our lawful basis |
|---|---|
| Reply to your enquiry, send you our info pack and arrange your chat and induction | Taking steps at your request before entering a contract |
| Run your trial or membership: bookings, payments, coaching and reminders | Performance of our contract with you |

If you don't join after enquiring, we may follow up a small number of times about your enquiry. You can tell us to stop at any time and we will.
4. Who we share it with
We never sell your information. We only share it with trusted service providers who help us run RBT, and only what they need:
- HighLevel (LeadConnector): our website, enquiry forms, email and text messaging system
- Our class booking app: for booking sessions
- Our payment provider: for processing membership payments
- InBody: for body composition scans
- Our accountant, and any authority where the law requires it
Some of these providers store data outside the UK, for example in the United States. Where that happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the UK–US data bridge.
5. How long we keep it
- Enquiries that don't go further: up to 24 months, then deleted
- Member records, including health information: for as long as you're a member, then up to 2 years after you leave
- Financial records: 6 years, as required by HMRC
- Marketing: until you unsubscribe
6. Keeping it safe
Your information is stored in secure, password-protected systems that only RBT staff who need it can access. Paper forms, if any, are kept locked away and destroyed securely.
7. Your rights
Under UK data protection law, you have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your information
- Object to, or ask us to limit, how we use it
- Withdraw your consent at any time, including for health information and marketing
- Ask us to transfer your information to another provider
Email [email protected] to use any of these rights. We'll respond within one month.
If you're unhappy with how we've handled your information, please talk to us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
8. Cookies
Our website uses cookies that are needed for it to work, such as our enquiry form. We may also use analytics or advertising cookies, for example from Google or Meta, to understand how people use the site and to measure our adverts. These are only set with your permission where the law requires it. You can block or delete cookies in your browser settings at any time.
